Position Summary



The Event Coordinator is a high level support position within an event team that assists the Event Managers on a wide range of projects and tasks and reports to the Event Director. The fast-paced, dynamic work environment requires attention to detail, the ability to work with a variety of different departments and superior time management skills. The position is full-time and requires significant weekend travel. He/she will travel to their team’s 6-8 events. In addition, he/she will be required to travel to other CGI events and to expos across the country to help promote a variety of CGI-related events.



Responsibilities:




  • The event coordinator is responsible for making web updates for the team’s events.  Expertise with Wordpress is a plus, but not a requirement.

  • Consumer communication including: creating event e-newsletters, related stories, sponsor ads, consumer information collateral and emails, and production of promotional emails.

  • Maintain sponsor fulfillment be creating spreadsheets for each event, auditing events for deadlines, participation and day to day operations.

  • Assistance designing medals, race numbers, other production tasks as determined by the Event Manager and securing food meals, and participant food at start/finish.

  • Write start production script, coordinate start line interviews with athletes, celebrities, city officials.

  • Coordinate event announcers, produce announcer books, check on travel arrangements, provide staff gear, arrange weekend production meeting.

  • Draft and coordinate start, finish and expo recorded announcements and manage iPods and music selection for start, finish, expo, and kids races.

  • Management of Kid Rock races and the Get Fit Challenge.

Qualifications:




  • Exceptional organizational skills and attention to detail.

  • Minimum of two years experience in Sports Marketing and/or Event or Project Management.

  • Exceptionally strong verbal and written communication skills.

  • Professional demeanor.

  • Ability to multi-task, and meet deadlines with a high level of personal initiative and self-drive.

  • Excellent interpersonal skills – builds effective working relationships on all levels.

  • Travel including weekends will be required many times a year for events and Expo promotion.

  • Proficiency with Microsoft Outlook, Excel, PowerPoint and Word.
